Having duplicate company or user records in your workspace can distort your prioritization efforts. When you find a duplicate, you can merge it into the record you want to keep. Its feedback, tags, opportunities, and findings move over, and the duplicate is deleted. This article explains what a merge does and how to run one.

What happens when you merge
Every merge has two records: the one you merge from, which is deleted, and the one you merge into, which is kept. You can only merge a company into another company, or a user into another user.
When you confirm a merge, Productboard:
- Keeps the field values, description, and followers of the record you merge into.
- Fills any empty fields on the kept record with values from the deleted record.
- Moves tags, feedback, opportunities, and findings to the kept record.
- (Company merge only) Reassigns any users from the deleted company to the kept company .
- Permanently deletes the record you merged from.
Warning: You can't undo a merge. Review the comparison in the confirmation dialog carefully before you confirm.
Merging a company or user
You must be a maker or admin to merge records. If you are:
- From the Main menu, click Library > Companies or Users.
- Click the duplicate you want to delete to open its Details sidebar.
- In the top-right corner of the sidebar, click ••• More actions > Merge.
- In the dropdown, search for the company or user you want to keep, then select it.
- Review the side-by-side comparison. The record marked Deleted is on the left, and the record marked Kept is on the right.
- Confirm you understand the consequences of merging.
- Click Merge and delete.
Merging records synced from an integration
If either record came from an integration (such as Salesforce), the confirmation dialog shows a warning. You can still complete the merge.
If the duplicate still exists in the connected system, the integration may recreate it in Productboard after the next sync.
Tip: Where you can, merge into the record synced from your integration, and resolve the duplicate in the connected system as well. This keeps the duplicate from coming back.
Limitations
- Merges are permanent. The deleted record can't be restored.
- You can only merge records of the same type: a company into a company, or a user into a user.
- You can only merge one pair of records at a time.
