Import Salesforce Opportunities to Productboard as notes

You can configure your Salesforce integration to bring open and closed opportunities into Productboard, where they will appear as notes on your insights boards.

Importing opportunities into Productboard

To import Salesforce opportunities into Productboard as notes:

  1. From the bottom of the Main menu, click Settings > Integrations.
  2. Find and click Salesforce, then click the name of the specific Salesforce integration you wish to configure.
  3. Find Accounts to import. Above that, click Opportunities.



  4. Under Opportunities to import, use the Add filter button to specify which opportunities should be imported from Salesforce based on compatible data fields. You can add as many as you like, just remember to click Save filters when you're done.
    Note: AND is the only logical operator available. You cannot use OR.



  5. Under Fields to import, select which opportunity data fields you want to import with each opportunity. They will appear in the description of the note in Productboard. Click Save fields when you're done.
    Note: Owner name and Account name are required fields.



  6. Choose how you'd like to import the opportunities. Automatic import will grab new opportunities as soon as they're created, but will not work retroactively. One-time import allows you to pick a date and import all opportunities between then and now (when you click Start import), but it won't import opportunities automatically. Use these two options together for maximum coverage.



  7. (Optional) Under Aggregated Opportunity Value, select the data field (from among those indicated above) you want to use in prioritization. See How to factor Salesforce opportunities into your prioritization process below for details. 

Once you've configured your import settings, opportunities will begin appearing on insights boards as notes. You can interact with these notes like any other—assign them to owners, create insights from them, and mark them as processed. You can even click on the name at the top of the note to go to the opportunity itself in Salesforce. 

How to factor Salesforce opportunities into your prioritization process

Relevant to Legacy boards only

Linking the notes from your Salesforce opportunities to feature ideas (creating insights) generates Customer Importance Score and opportunity value so you can understand the revenue impact of your ideas. You will find both fields in the Default fields section of your Features board.

With the Opportunity value column toggled on, you will be able to answer questions like:

  • What is the $$$ opportunity value behind individual feature ideas?
  • How much revenue have we lost due to a specific product gap?
  • What are the feature candidates which are contributing the most to lost opportunities?

The Opportunity value is calculated as the sum of values from linked opportunities for the value field you selected during setup. (See FAQ section below to select another field.)

How to locate your opportunities within insights boards

You can filter any insights board to locate notes based on Salesforce opportunities.

  1. Click Filtered by.
  2. Click Source > Salesforce.

Current limitations

  • Reference fields (except Account name and Opportunity owner), location, and encrypted fields are not supported.

Frequently asked questions

When an open opportunity is updated or closed in Salesforce, what happens to the equivalent note in Productboard?

If you've configured your opportunity importer to run automatically, the change will propagate instantly. If you're using a manual configuration then you'll need to run the import again.

When you close an opportunity in Salesforce, the Productboard note will reflect that change, and will continue to do so as long as your importer filters accept closed opportunities. 

I don't see newly closed opportunities in Productboard.

Make sure the Salesforce user who authorized the integration has the following permissions:

  • Push topics - Create, Read, Update, Delete (found under Salesforce Setup > Users > Profiles)

Make sure your Salesforce instance has the following enabled:

  • Streaming API (found under Salesforce Setup > User Interface > User interface)

This permission is enabled by default, but an admin might have changed it.

Can I change which field is used to calculate the Opportunity value?

Yes. In your integration settings, the integration will calculate the Opportunity value based on the Amount field by default, but you can use another field instead. However, this value will only be calculated based on insights created after this change is made.

For example, if you had linked three opportunity notes to feature ideas, and then changed the Opportunity value field from Amount to Number of licenses, there would be no opportunity value calculated from the three insights already linked. You must re-link those insights to "backfill" the opportunity value.

I changed which field I used to calculate the Opportunity value, and now that column is empty!

See the Q&A above. The Opportunity value will only be calculated based on insights created after the change in your field settings.
