Add new members to your Productboard workspace

The following capabilities are available on all Productboard plans.

How to invite a new user to Productboard

You must be an admin to add members to your workspace. 

  1. Click Workspace menu (top left corner) > Invite members.
  2. Enter the new user's email address.
  3. Select the new user's role (see below for more information about roles).
  4. Click Invite.

How to bulk invite members

  1. Click the Workspace name in the top left corner.
  2. Click Members.
  3. To invite a new user, click Invite members.
  4. To bulk invite multiple users, click Switch to invite many at once.

  5. Set the role of the new users from the drop-down menu and add their email addresses in the email address field.

  6. Click Review, then click Invite members.

Inviting members from the view-sharing menu

Relevant to Legacy boards only

When a Maker admin wants to invite someone to their workspace and share the view with them, they will be able to do so efficiently from the view-sharing flow. 

To add a member to your workspace from the view-sharing menu: 

  1. From any Legacy board, click on the Share button in the top right corner

  2. In the sharing menu, click on the Share with teams or members dropdown button

  3. Type in the email address of the user you want to invite

  4. Click on the Invite user via email button

    Note: Secret products that are visible on the view will also be visible to the invited user with whom you shared a view.

  5. Confirm the user's email and role and click the Add button

  6. You can add more users if you want. Once you added all the user emails, click on the Invite

    button to send the invitation link.

  7. The invited user will be Pending until the user accepts the email invitation and joins the space.

  8. Upon clicking on the invitation, the invited user will land on the view that you shared.

Productboard's recommended access roles

While every organization can determine their own appropriate access roles, these are our general guidelines for rolling out Productboard across different teams:

  • Invite colleagues on the product and design team as makers or contributors.
  • Invite colleagues on customer-facing teams (support, sales, marketing, customer success) as contributors so they can contribute ideas, requests, and feedback.
  • Invite colleagues from across the organization in as viewers (limited just to the Roadmap and Portal, if shared with them).

How to deactivate members

Admins can deactivate any member. This does not delete the member but disables them from logging in.

Note: If the member is already logged in, once the web page refreshes, it will log them out.

To deactivate a member:

  1. From the Main menu, click More > Settings > Members.
  2. Switch the toggle next to a member's name to deactivate them.

Note: when you deactivate a maker seat on a subscription plan, this doesn’t change the seat count automatically. You can manage this on your billing page. For more information, see the article Pricing and Billing (per seat)

You can reactivate a deactivated member by going to the Deactivated tab of the Members page and switching the toggle beside the deactivated member.

Note: If you would like member roles to be deleted altogether, please reach out to our Support team by clicking on the chat bubble or by sending an email to support@productboard.com. Any Maker admin can make this request, and the member will be deleted within 24-48 hours.
