Manage data visibility in teamspaces

Admins and teamspace owners can control whether certain data fields are visible within a teamspace. By restricting data visibility, you can reduce the noise being created by other members, teams, or departments, and ensure that your teamspace remains focused on its own priorities.

Data field types that can be hidden

At this time, the following data field types can be hidden from teamspace members:

  • Drivers
  • Tasks
  • Formulas
  • Custom fields
  • Integrations

Permissions

Workspace admins can edit data visibility for any teamspace. Teamspace owners can only edit data visibility for the teamspaces they own. 

Teamspace members who aren't admins or owners are generally able to see (but not edit) the data visibility settings of any teamspaces they have access to, including all Open teamspaces and any Closed or Private teamspaces of which they are members. 

Note: If you aren't an admin or teamspace owner, and you aren't a member of a specific Closed or Private teamspace, you cannot see which data fields are visible in that teamspace. 

Editing data visibility from within a teamspace

To change which data fields are visible from within a teamspace:

  1. From the Main menu, click Home.
  2. Under Teamspaces, click on a teamspace to open its hub.

  3. In the submenu, under Data visibility, select a field type.
  4. (Optional) Use the search and sort fields at the top of the page to narrow the list of fields.
  5. Click the box beside a field to toggle its visibility in the teamspace. All changes will take effect immediately. 

Editing data visibility from the Data page

Teamspace data visibility can also be edited from the Data page, like so:

  1. From the Main menu, click Data. 
  2. Select the data field type you wish to edit.
  3. Click on a specific data field to open its sidebar.
  4. Under Data visibility, you'll see a list of all the teamspaces you have edit access to. Click the button beside a teamspace to toggle the field's visibility in that teamspace. All changes will take effect immediately. 

Behaviors

Keep in mind the following with regard to teamspace data visibility:

  • Updating a teamspace's data visibility settings will update the filters and content of grids, timelines, columns boards, and insights boards within that teamspace.
  • When a teamspace's data visibility settings are updated, hidden entities will be removed from any existing board in that teamspace which contains the filtered data.
  • When you change a data visibility setting, that change is saved and implemented immediately. However, you may need to refresh the page to see the update take effect.
  • Teamspace data visibility settings do not impact the contents of product documents.
  • Teamspace data visibility settings do not apply to Legacy boards (features boards and old roadmaps).
  • Updating teamspace data visibility settings will not impact aggregations in any way.
