Over time, your Productboard workspace fills up with a ton of customer data from all the feedback you collect and analyses you run. This article covers how to export that data for use with other tools.
In this article:
Requirements
To export customer data from Productboard, you'll need to be an admin or a maker, and you'll need to configure a grid board for the task.
See Member role definitions to learn how to check your role.
See Grid boards: Planning and prioritization management to learn how to configure grids in general.
Grid configuration
When configuring a grid for export, you need to decide how to structure your data:
- First, what data will make up the rows?
- Second, what data will make up the columns?
Let's look at your options for each.
Determining rows
The item types you set in Board controls will become the rows of your CSV, and the order in which they appear on the grid will dictate they way they're ordered in the CSV. Working with customer data, you have three options:
In Board controls, set your main item type to Company, and don't set any other item types.
In Board controls, set your main item type to Company, and set your second item type to User.
In Board controls, set your main item type to User, and don't set any other item types.
Determining columns
When you export data from a grid, any columns you set will be included in the CSV. This means you can build a grid that focuses on customer-related data while excluding irrelevant fields.
For example, let's say you're creating a grid for exporting companies and users. You decide to add the default column "Email", along with a few custom fields you've created previously—"Account Owner", "Annual Revenue", "Customer Priority", and "Employees".
In the exported CSV, only these columns, plus a few built-in columns like "entity-type" and "entity_uuid" will be included. (UUIDs are very useful if you're planning on building your own integrations or other tools with our public API.)
See Add custom fields to your boards for details about creating custom fields, and remember that you may need to associate your custom fields with specific entity types if you're on certain plans.
Exporting the data
Once you've got your grid configured with the data you want, it's time to export it. You can do so like this:
- From the grid you want to export, click ••• More actions in the top right corner.
- Click Export as CSV.
- (Optional) Select Include item descriptions (in plain text) if you wish.
- Click Export CSV.
- Wait to receive an email. It should only take a moment.
-
Follow the link in the email to a webpage where you can download your CSV.
Note: The browser you use to export the data from Productboard should be the same one you use to access the download link via email. Otherwise you might get an authorization error.
