Use timeframe columns to plan your items against time

Timeframe columns help you plan multiple items at the same time by giving you an overview of what the team has planned. When things change, you can easily make edits to keep your plans up to date. Plus, timeframes you assign to items will automatically be populated when you use any timeline-based roadmap, making it simple to visualize your future plans. 

There are two types of timeframe columns:

  1. Timeframe shows you an item's timeframe as a date or date range. 
  2. Timeframe visualization creates a mini Gantt chart for better comparison.

Enabling the timeframe column on a grid

To add the timeframe column to your board:

  1. Click Add columns > Default fields.
  2. Toggle on Timeframe.

Changing an item's timeframe

You might already have timeframes assigned to your items if you used them to build a timeline roadmap. If this is the case, you'll already see the timeframe assigned to each item when you enable the timeframe column.

If you haven't set a timeframe for items yet, you can do so by clicking on the timeframe value in the column and selecting a high-level or specific date.

  • Use high-level dates when you're planning items for broad time horizons: years, quarters, and months.
  • Use specific dates for more precise start- and end-dates.

Setting a time range as a value with high-level dates

When working with high-level dates, you might need to set a time range instead of a single time value.

To select a time range, select the start time and the end time. You'll see a highlighted range between the two values you set.

Tip: Start with high-level dates as soon as you have some idea of timing for the topics you plan to work on and narrow them down as you get more clarity. This will allow you to align with your stakeholders earlier and set the right expectations.

Clearing timeframe values

If you want to remove a time frame, you can do so by clicking the timeframe value and then selecting Clear.

Filtering items by timeframe

You can use a filter to surface items with a timeframe value associated with them.

You can add filters to your boards from the header or from within Board controls. See Simple filters for details. 

Using timeframe filters can help you answer questions like:

  • What have we released in the last quarter or month?

    For this, you can set a timeframe filter with an End date only, selecting the option In this range. Here, you can select the last quarter or month you want to see.



     

  • What are you planning to work on in the next quarter or month?

    For this, you can set the Start date and End date using In this range and selecting the next quarter or month.




     

  • Which items haven't you planned yet?

    Select Not set under Start and End date:


Sorting items by timeframe

You can sort the items on your board according to their timeframes. To do so:

  1. Click ••• More actions at the top of the timeframe column.
  2. Select a sorting option. You can choose to sort by  Start date or End date, and you can also decide if the sorting order should be ascending or descending.

The sorting logic includes high-level and specific dates. Higher-level dates will be placed at the top when sorting specific dates in ascending order.

For instance, if you're sorting three items with the following time frames:

  • Item #1: planned for Aug 7, 2022  arrow.svg  Aug 15, 2022
  • Item #2: planned for August
  • Item #3: planned for Q3

If you select ascending order, you'll see them in this order from top to bottom:

  • Item #3: planned for Q3
  • Item #2: planned for August
  • Item #1: planned for Aug 7, 2022  arrow.svg  Aug 15, 2022

Bulk assigning a timeframe to items

You can bulk assign a timeframe if you're planning multiple features simultaneously.

  1. Hover over an item to display the checkbox.
  2. Select the checkbox for all items you want to assign the time frame to. Shift-click to select multiples at once. 
  3. (Grid only) Click Edit in the message that appears near the bottom of the screen. 
  4. Edit the Timeframe field in the sidebar. This will assign that timeframe to all selected items.

Timeframes for other entities

Objectives and releases can also be assigned timeframes by editing those fields directly in the detail sidebar for each individual entity. Timeframes for these entities are only relevant on certain timeline-based roadmaps. 

Adding the timeframe visualization column to a grid

The timeframe visualization column allows you to easily compare timeframes across many items without having to go to a dedicated timeline board.

Any item which can accept a timeframe can be visualized this way, including features, subfeatures, releases, objectives, key results, and initiatives.

To add the timeframe visualization column to a grid:

  1. Click Add column.
  2. Toggle on Timeframe visualization.


     

This will create a column containing a Gantt chart that visualizes the timeframe of each item on the grid. 

Reading the chart

When you add the timeframe visualization column, any items on your board with a timeframe assigned will appear as colored bars. The color of the bar will match the color of the item's status, and the length of the bar corresponds to the item's timeframe. 

The blue line in the column's header indicates the current day. 

Items with timeframes that span only a single day appear as dots. If the item is missing a start date or end date, the dot will fade out either left or right to indicate the missing date. 

You can hover over a cell in the timeframe visualization column to see a tooltip describing the timeframe of that row's item. If the item's timeframe is not visible in the current range of the column, the tooltip will say so. See Sorting and timeline configuration below for more on column ranges.

Items which cannot accept timeframes (like products and components) will not get a tooltip. 

Adjusting the column width

The timeframe visualization column is pretty wide by default, which can make reading grids with many columns difficult. You can resize this or any column to make it fit better on your screen. To do so: 

  1. Hover over the far-right end of the column's header.
  2. Click and drag the end of the column left or right.

    Note: You might have to scroll horizontally to get to the end of the column before you can adjust its width. 

Editing timeframes on the chart

You can edit an item's timeframe by clicking directly on a cell in the timeframe visualization column. This opens the timeframe picker, which works the same as elsewhere. See Changing an item's timeframe above for details. 

If an item doesn't yet have a timeframe, you'll see a dotted circle when you hover over its cell in the chart. Click this circle to instantly add that timeframe to the item. The exact span of time added this way depends on the granularity of the column (see Sorting and timeline configuration below). 

Note: It is not currently possible to drag and drop bars on the chart to adjust timeframes. For now, you must use the timeframe picker.

Sorting and timeline configuration

You can apply sorting options and configure the timeframe visualization column by clicking the ••• More actions button which appears when you hover over the far-right end of the column header.

In ••• More actions > Configure, you can adjust the granularity and range of the column's timeline. Granularity refers to the subdivisions at the top of the timeline (weeks, months, or quarters). Whatever you choose will be the default span of time that gets assigned to a timeframe-less item when you click a dotted circle in the column (see above)

There are two options for timeline range:

  • Relative allows you to specify how many weeks, months, or quarters you want to display in the past and in the future relative to today's date. The example below shows a relative timeframe range of three months in the past and nine months in the future. 
  • Exact gives you a timeframe picker, which you use to define the precise range of dates you wish to visualize. The example below shows an exact timeframe range of September 3rd to October 25th. 

You can also apply time horizons to your visualization using the controls under Timeframe visualization. See Time horizons: Snap timeline cards to weeks, months, or quarters to learn more about how time horizons work.

Depending on your configuration, you may need to scroll forward or back in time in order to see certain items. To do this:

  1. Hover over the far-right end of the column header.
  2. Click the Previous or Next arrows to adjust the timeline by one period of time (weeks, months, or quarters).
